Job Description

The Import Operation Supervisor, supporting the Import Department in all operational matters. S/he will be responsible for ensuring that departmental activities, as directed by the Department Head, are effectively managed and aligned with organizational objectives. This role contributes directly to the achievement of target goals by promoting efficiency, compliance, and operational excellence within the department.

Duties and Responsibilities:

  • Assist the Department Head in directing and managing the whole Import team.  Provide leadership and guidance to the team, including appropriate training when required.
  • Work closely with the sales/commercial team, particularly Key Accounts, to meet and exceed business plan targets.
  • Cultivate and sustain long-term relationships with internal and external stakeholders (clients, vendors, etc.).
  • Manage daily operations activities and work processes in accordance with the department’s SOP and OTP.
  • Ensure shipment requirements are met and within KPI requirements.
  • Ensure that Import staff executes service agreements at, or above, customer standards.
  • Responsible for the team’s correct and timely provision of all shipping documents to customers.
  • Efficiently handle customer complaints and requirements, recommending corrective action plans.
  • Investigate and provide corrective action plans to non-conformance issues for exceptions and problem escalations.
  • Maintain flexibility in work schedule to accommodate operational demands.
  • Monitor industry trends and regulatory changes affecting the operations.
  • Ensure compliance with all international trade and shipping regulations.
  • Prepare required reports and analyses on department performance
  • Undertake any additional tasks or projects as assigned by the Department Head/Management.

Qualifications:

  • Degree in Business Administration, Customs Administration, Logistics Management, or other logistics/supply chain–related courses.
  • At least 3 years of relevant experience in a similar role within freight forwarding, with a specialization in inbound movements, and a minimum of 1 year of experience working in an ISO-certified company.
  • Strong knowledge of current import regulations, customs procedures, and documentation requirements.
  • Proficiency in freight forwarding software and systems, MS Office, and thorough knowledge of computer applications.
  • Ability to work effectively in a fast-paced environment and meet tight deadlines.
  • Strong attention to detail and problem-solving skills; proven ability to work as a team player.
  • Ability to engage with various internal and external stakeholders.
  • Team-leading and self-motivated individual with the capacity to guide and support staff.
  • Confident personality with strong interpersonal, negotiation, and communication skills.
