Job Description

Job Summary

The Office Manager is responsible for managing student support, promotional activities, and operational tasks across multiple platforms. This role ensures smooth coordination between educators, students, and partner institutions while maintaining accurate records, executing marketing campaigns, and providing logistical support for academic programs and events.

Key Responsibilities

  • Digital Marketing & Promotions
  • Create and publish engaging Facebook content layouts and posts.
  • Monitor and optimize Facebook ads to maximize reach and engagement.
  • Develop promotional emails and coordinate new promotions with NAI AU.
  • Schedule and manage weekend and special campaign posts.
  • Student & Educator Support
  • Assist students with inquiries, exam results, and orientation webinars.
  • Coordinate with educators regarding schedules, materials, and salary requests.
  • Follow up on old inquiries and maintain updated lists of exam takers.
  • Prepare visa referral letters and debrief emails for online and face-to-face classes.
  • Operations & Administration
  • Maintain inventory monitoring and conduct actual inventory checks.
  • Encode and track expenses; prepare monthly reports.
  • Request payments for monthly utility bills and other operational needs.
  • Book flights and accommodations for educators.
  • Ensure cleanliness and readiness of the lab and learning facilities.
  • Cross-Team Coordination
  • Collaborate with NAI AU and IPASS teams for promotions, scheduling, and academic updates.
  • Provide timely communication and reporting to management and partner institutions.

Tasks & Deliverables

  • Weekly:
  • FB content creation, posting, and ad monitoring.
  • Inventory updates and inquiry volume tracking.
  • Student assistance and inquiry follow-ups.
  • Monthly:
  • Expense encoding and financial reporting.
  • Orientation webinars and promotional campaigns.
  • Utility bill payment requests.
  • Comprehensive monthly report submission.
  • As Needed:
  • Visa referral letters, exam result coordination, and layouts for passers.
  • Flight and accommodation bookings for educators.
  • Preparation of materials for face-to-face sessions.

Minimum Requirements

  • Bachelor’s degree in Business Administration, Marketing, Education, or related field.
  • At least 1–2 years of experience in administrative support, marketing, or student services.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and social media platforms (Facebook Ads Manager).
  • Strong organizational skills with attention to detail.
  • Excellent communication skills in English and Filipino.
  • Ability to multitask and manage time effectively.

Preferred Requirements

  • Experience in the education, training, or healthcare sector.
  • Familiarity with digital marketing tools (Canva, Mailchimp, Meta Ads).
  • Background in student coordination or academic program support.
  • Knowledge of basic financial processes (expense encoding, salary requests, utility payments).
  • Strong interpersonal skills for liaising with educators, students, and partner institutions.
