Job Description
Operational Management
- Oversee day-to-day operations of the HOA, including facilities, landscaping, amenities, and vendor services.
- Conduct regular property inspections and ensure timely resolution of maintenance issues.
- Implement and enforce HOA rules, regulations, and architectural guidelines.
- Manage work orders, service requests, and resident concerns.
2. Financial Management
- Assist in preparing annual budgets with the Board of Directors.
- Monitor financial performance and provide monthly financial reports.
- Oversee collection of assessments and coordinate with accountants or management company.
- Review and approve vendor invoices; ensure proper cost control.
- Support annual audits and long-term reserve planning.
3. Vendor & Contract Management
- Solicit, review, and negotiate vendor bids for maintenance, landscaping, and other contracted services.
- Ensure vendor compliance with contract terms, insurance requirements, and performance standards.
- Maintain relationships with contractors, inspectors, and service providers.
4. Board Support & Governance
- Serve as the primary liaison between the Board of Directors and homeowners.
- Attend Board meetings and prepare management reports, agendas, and follow-up action items.
- Provide guidance to the Board on policies, bylaws, and industry best practices.
- Ensure association operations comply with governing documents and relevant laws.
5. Administrative Duties
- Maintain accurate records, files, and databases.
- Oversee communication to the community, including newsletters, notices, and updates.
- Process architectural review applications and coordinate with ARC committee.
- Manage insurance policies, claims, and risk-management practices.
6. Community Relations
- Promote a positive, respectful environment within the community.
- Address homeowner inquiries and disputes professionally and promptly.
- Coordinate community events and support neighborhood engagement.
