Job Description
Job Overview:
A CRM Administrator is responsible for managing and configuring a company’s Customer Relationship Management (CRM) software. Their key responsibilities include:
User Management: Setting up user accounts and managing permissions.
Customization: Customizing fields, workflows, and reports to meet business needs.
Data Management: Overseeing data import/export and ensuring data integrity.
Support and Training: Providing support to users and training new staff on CRM usage.
System Optimization: Ensuring the CRM system aligns with business objectives and enhances customer satisfaction.
This role is crucial for maximizing the effectiveness of CRM systems within an organization.
Key Responsibilities:
- Manage and maintain customer-facing knowledge bases and FAQ libraries within CRM tools (e.g., Zendesk, AIHelp, Salesforce).
- Create, update, and optimize CRM reply templates to ensure clarity, consistency, and customer-friendly tone.
- Translate complex policies, workflows, or system logic into short, clear, and logically structured messages.
- Ensure all customer-facing content reflects empathy, accuracy, and strong logical flow.
- Conduct bi-weekly assessments (exams) for Customer Service agents to evaluate their understanding and correct usage of customer-facing content, reply templates, and knowledge base materials.
- Identify recurring customer issues and improve CRM content to reduce confusion and repeat contacts.
- Collaborate with QA, Operations, Product, and Tech teams to align messaging with system behavior and business rules.
- Support CRM system management, including content organization and coordination of CRM automations where applicable.
Key Qualifications:
- 3‒5 years of experience in CRM operations, customer-facing content management, or CRM system administration.
- Hands-on experience with CRM platforms such as Zendesk, AIHelp, Salesforce, or similar tools.
- Strong understanding of customer behavior, human interaction, and relationship-based communication.
- Excellent written communication skills with the ability to simplify complex concepts quickly and clearly.
- Strong logical thinking and structured approach to content creation.
Preferred Skills:
- Experience in CRM operations, QA, CX, training, or knowledge management.
- Familiarity with CRM automation, workflows, macros, triggers, or AI-assisted responses.
- Background in internal communications, corporate communications, or customer experience strategy.
