Job Description

The Purchasing Assistant Manager supports the end-to-end procurement function by ensuring efficient sourcing, accurate purchasing execution, timely deliveries, and strong supplier relationships. The role manages both trade and non-trade procurement activities, monitors supplier performance, drives cost optimization, and ensures purchasing readiness for product launches, marketing programs, and operational needs. This position also leads the purchasing team, strengthens procurement processes, and contributes to strategic initiatives that support business growth.

Key Duties and ResponsibilitiesProcurement & Sourcing Oversight

  • Manage the complete procurement cycle from purchase request to purchase order issuance.
  • Identify, evaluate, and develop suppliers based on cost competitiveness, quality standards, lead times, and reliability.
  • Maintain updated pricing databases, cost models, quotations, and landed cost analyses.
  • Ensure all purchases comply with approved specifications, artwork versions, MOQs, and demand forecasts.

Project & NPD Support

  • Ensure timely sourcing of raw materials, packaging, and components for new product launches.
  • Coordinate sample submissions, approvals, validations, and artwork alignment for new or revised SKUs.
  • Lead assigned initiatives such as cost-reduction programs, supplier optimization, and AOP-related projects.
  • Ensure completion of all procurement requirements for NPD stages and launch milestones.

Material Availability & Service Level Management

  • Maintain full availability of critical materials, packaging, and trade/non-trade items.
  • Work closely with Demand Planning, Warehouse, and suppliers to mitigate supply risks and prevent stock shortages.
  • Monitor supplier service performance, issue non-conformance reports, and ensure corrective actions.
  • Support Trade Marketing by ensuring on-time procurement of promotional items, premiums, and campaign materials.

Lead Time & Delivery Control

  • Ensure timely processing of purchase requests to purchase orders within defined service levels.
  • Track and manage supplier lead times for both local and imported items, escalating risks proactively.
  • Monitor On-Time In-Full (OTIF) delivery performance and drive continuous improvement.
  • Oversee importation activities, including broker coordination, documentation completeness, permits, and customs clearance.
  • Monitor inbound and outbound logistics across sea, air, and local transport modes.

Cost Management & Financial Coordination

  • Execute supplier negotiations to achieve annual cost-saving objectives.
  • Analyze price movements, landed costs, and margin impact for new and existing items.
  • Propose alternative sourcing or material options to improve cost efficiency.
  • Coordinate with Finance on pricing validation, invoice accuracy, and variance resolution.

Supplier Governance & Compliance

  • Manage supplier accreditation, contracts, MOAs, and service-level agreements.
  • Conduct regular supplier performance reviews covering delivery, quality, responsiveness, and cost.
  • Resolve supplier disputes and ensure compliance with company standards and policies.
  • Maintain complete and updated vendor documentation for regulatory and audit requirements.

Documentation, Systems & Audit Preparedness

  • Ensure accuracy, completeness, and proper filing of all procurement records.
  • Maintain dashboards, trackers, and reports for management review.
  • Ensure compliance with import and local documentation requirements to prevent delays and penalties.
  • Implement and monitor adherence to procurement policies, SOPs, and internal controls.

Cross-Functional Collaboration

  • Coordinate closely with internal stakeholders including NPD, Marketing, Trade, Sales, Demand Planning, Warehouse, Finance, and Regulatory teams.
  • Support business initiatives, campaigns, and seasonal programs with complete and timely procurement execution.
  • Lead regular alignment meetings to provide updates on material readiness and potential risks.

People Management & Development

  • Supervise, coach, and assess Purchasing Associates and Assistants.
  • Allocate responsibilities, track performance, and ensure timely task completion.
  • Provide training on procurement procedures, negotiation skills, and supplier management.
  • Foster a high-performance culture focused on accuracy, speed, and accountability.

Process Improvement & Strategic Support

  • Drive continuous improvement initiatives to reduce cycle times and eliminate process gaps.
  • Implement digital tools, dashboards, and tracking systems to enhance efficiency.
  • Contribute to strategic planning activities related to AOP, NPD pipelines, supplier engagement, and cost optimization.
  • Recommend enhancements to procurement workflows, policies, templates, and systems.
