Job Description
The Warehouse Administrative Assistant provides crucial administrative support to a warehouse’s daily operations. This role involves tasks like data entry, managing inventory, processing shipping documents, and coordinating with different teams. They also assist with tasks such as receiving, issuing, and stocktaking, as well as maintaining organized and clean workspaces.
DUTIES AND RESPONSIBILITIES:
- Maintaining accurate records of inventory, shipments, and other warehouse activities using computer systems.
- Preparing and processing shipping and receiving documents, including invoices, packing lists, and bills of lading.
- Tracking inventory levels, identifying discrepancies, and assisting with stocktaking procedures.
- Interacting with customers, suppliers, and other team members to facilitate smooth operations and resolve issues.
- Ensuring the warehouse office is organized, tidy, and equipped with necessary supplies.
- Assisting with the receiving of incoming shipments, including verifying contents, documenting discrepancies, and coordinating unloading activities.
- Scheduling outgoing shipments, tracking shipments, and coordinating with delivery personnel.
- Maintaining a clean, organized, and safe working environment, including proper storage and shelving.
- Ability to manage multiple tasks, prioritize work, and meet deadlines.
- Accuracy in data entry, record keeping, and order processing.
- Effective verbal and written communication skills for interacting with various stakeholders.
- Knowledgeable in using spreadsheets, and other relevant software.
- Ability to identify and resolve issues related to inventory, shipments, or other warehouse activities.
QUALIFICATIONS:
Education Level: Bachelor’s Degree in Office Administration, Logistics and Supply Chain Management, Operations Management, Business Administration with a supply chain focus, Supply Chain Management or equivalent
Experience: at least one (1) year of working experience in the related field
Specific Skills: Problem-solving skills, Decision-making ability, Management Ability
